Take control of every email your WordPress site sends
Manage Email Rules does for outgoing email what a redirection plugin does for URLs. Every wp_mail() message – from WordPress core, WooCommerce, contact forms or any other plugin – is checked against your rules. Redirect it, rewrite it, add a recipient or stop it before it leaves your site.
Why you need it
Email is the part of WordPress nobody controls. Until now.
Plugins, themes and WordPress itself send email whenever they like, to whoever they like. Manage Email Rules puts one rule list in front of all of it.
Safe staging sites
One rule sends every email of a test or development site to you instead of real customers. The original recipients are kept in an X-Original-To header.
Silence WordPress notifications
Stop password change, new user, comment and auto-update emails in two clicks – in any site language.
Route form email
Send contact form mail to the right team, add a Cc for sales or a Bcc for your archive – based on sender plugin, subject, body or any header.
Stop spam going out
Block suspicious email, or hold it in quarantine until a human says yes PRO
Features
Rules for outgoing email, like you know them for URLs
Build a rule in seconds: when the email matches, then do something with it. Rules run from top to bottom and the first match decides.
One ordered list of rules
Every outgoing email is checked from top to bottom, with a switch per rule and a hit counter so you see what each rule does.
- Match on To, Cc, Bcc, From, subject, body, any header, attachments, the sending plugin or the WordPress email
- Equals, contains, starts/ends with, wildcards (
*@example.com) or regular expressions - Redirect, add recipients, rewrite subject, body, From or Reply-To, or block
Knows who sent it
Manage Email Rules sees which plugin, theme or part of WordPress called wp_mail(). Use the “Sent by” condition to handle the email of one contact form, shop or membership plugin – without special integrations.
- Works with Contact Form 7, WooCommerce, Gravity Forms and any other plugin
- With Pro, AI email routing decides per email type: spam to quarantine, support to the helpdesk, sales in Cc PRO
- Your own AI skills teach the AI the jargon of your trade, so it recognises your email the way you do PRO
All WordPress emails in one list
New user, password reset and change, email address change, comments, automatic updates, privacy requests, recovery mode and the multisite emails. Pick one, click “Add rule” and block, redirect or change it.
Email log and a safe test screen
The email log shows what happened to every email, which rules matched and which plugin sent it. The Test screen dry-runs your rules on an example email – nothing is sent.
- Automatic log cleanup after the number of days you choose
- The email body is only stored when you switch that on

Privacy first, also with AI
AI review uses the AI Client built into WordPress 7.0 and the provider you connect under Settings → Connectors – your API key stays in WordPress. Only the subject and body are sent, never the recipients or the sender.
Before anything leaves your site, email addresses, names, phone numbers, IP addresses, links and codes such as reset keys are replaced by placeholders. AI features only run after an administrator accepts the AI terms.
FAQ
Frequently asked questions
Can I switch off WordPress emails like password change notifications?
Yes. Go to Email Rules → WordPress emails, pick the email and click “Add rule”, then choose Block (or redirect it).
How do I send all email of a staging or development site to myself?
Add a rule without conditions and the action “Redirect to other recipients” with your own address. Every email then goes to you instead of the real recipients; the original recipients are kept in an X-Original-To header. Add a second “Rewrite” rule with a subject prefix such as [TEST] to recognise them.
Does it work with SMTP plugins?
Yes. Rules run in the wp_mail and pre_wp_mail filters, before the mail is handed to PHPMailer or an SMTP/API plugin.
Can I handle email of one specific plugin, for example a contact form?
Yes. Use the condition “Sent by” and pick the plugin, theme or WordPress core. Manage Email Rules sees which code called wp_mail(), so it works with any plugin without special support.
How can I try a rule without sending email?
Use Email Rules → Test. Fill in an example email (you can simulate a WordPress email, the sending plugin and the AI result) and see which rule matches and what the email would look like. Nothing is sent.
Which AI does Manage Email Rules Pro use, and what does it send?
The AI provider you connect in WordPress under Settings → Connectors (WordPress 7.0 and later). Only the subject and body are sent, never the recipients or the sender, and email addresses, phone numbers, IP addresses, links, long codes and recognised names are replaced by placeholders first.
Can I teach the AI the jargon of my business?
Yes, with AI skills (Pro). A skill is a text in which you explain the terms, abbreviations, product codes, suppliers and customers of your trade, and what should happen with their email. You choose a skill per “Process with AI” rule, so the AI sorts your email with the knowledge of your own business instead of only general knowledge. Think of an installation company whose customers write about a “callout”, a law firm with case numbers, or a wholesaler whose orders only mention article numbers.
Does it work on a multisite?
Yes. By default every site has its own rules. With Pro you can manage one set of rules with a central log and quarantine for the whole network.
